Best Practices for Obtaining Patient Lists in Medicare Advantage


Step 1: Prioritize Who

Focus your engagement on the largest providers first that are interested in growing their Medicare Advantage lives.

Step 2: Engage Providers

Direct your provider relations team to contact provider offices and ask to speak with the office manager or the provider. Explain the value proposition of Medicare Advantage, share the Mabel BAA, and facilitate an introduction to Mabel. A sample call/email script is included below.

Step 3: Patient List

Mabel will work with the provider to export a patient list from their EHR. Mabel will handle filtering the patient list based on campaign type and strategy. Below is a list of fields we typically request.

Active patients seen in the past 2 years

Patient ID (unique identifier assigned by EHR)
Patient Name (can be a single column or broken out as first, last, etc.)
Patient Mailing Address (address lines 1 & 2, city, state, and zip code — either separated as columns or combined)
Patient Email (if available)
Patient DOB
Patient Primary Insurance
Patient Secondary Insurance
Patient Language
(if available)

Step 4: Track Completion

As patient lists stream in, track progress via the Mabel dashboard and follow-up with providers as needed.
